Data deletion instructions

This page explains how to request deletion of your personal data from Leaxio, what data is removed, the timelines that apply, the legal exceptions we may rely on, and how to contact us.

1. Scope

These instructions apply to personal data that Leaxio processes as data controller for its own purposes, such as marketing contacts, support inquiries, prospects, and visitors of this website. They also apply to end users of an organization using Leaxio (account, profile, and activity data) when the request is submitted to Leaxio directly.

If your data is processed by Leaxio only as a processor on behalf of an organization that uses our platform, we will direct your request to that organization (the data controller) and cooperate so it can respond.

2. What data can be deleted

Upon a verified request, Leaxio will delete or irreversibly anonymize the following categories of data:

  • Account registration data (name, email, authentication identifiers).
  • Profile data you provided (avatar, preferences, language, contact information).
  • Operational logs tied to your account (sign-in history, device metadata).
  • Support conversations and attachments you sent to Leaxio.
  • Marketing and newsletter subscription records.
  • Cookies and similar identifiers that are not strictly necessary for the service.

3. Data we may retain

Some data may be retained when required to comply with legal, tax, accounting, or anti-fraud obligations, to resolve disputes, enforce our agreements, or respond to competent authority requests. Examples include:

  • Invoices and billing records within the statute of limitations.
  • Audit trails required by financial regulation or anti-money-laundering rules.
  • Backups that will be rotated out within their normal retention cycle.
  • Records of consent withdrawal and deletion requests themselves.

Retained data is isolated from product use, stored with restricted access, and deleted once the applicable retention period expires.

4. How to submit a deletion request

Send your request from the email address associated with your Leaxio account, or from an address we can reasonably link to you, to privacy@leaxio.com. Please include:

  • Full name and the email address of the account to delete.
  • Organization name (if your account belongs to a tenant).
  • Country of residence, to apply the correct legal regime.
  • A clear statement requesting “deletion of my personal data”.
  • Optional: a reason that helps us route the request faster.

We may contact you to verify your identity before processing the request, to prevent unauthorized deletion of someone else’s data.

5. Timelines

We acknowledge receipt of your request within 5 business days. Once identity is verified, deletion is performed within 30 calendar days. If your request is complex or affects multiple systems, we may extend this period by up to 60 additional days and will inform you of the reason and expected completion date.

6. Effects of deletion

  • You will lose access to your Leaxio account and any paid features associated with it.
  • Data created or uploaded by you inside a tenant may also be removed unless other members retain it.
  • Outstanding invoices or pending refunds will be processed according to the refund policy.
  • Deletion is irreversible; we cannot recover a deleted account or its content.
